- Community participation: information you post in our Discord server or send to our social media accounts.

4. Your research content
Your Content belongs to you. We process it only to provide, secure and support the Service for you and the people you choose to share it with.
- We do not sell Your Content.
- We do not use Your Content to train AI models.
- Our staff do not look at Your Content except where you ask us to (for example for support), where it is needed to keep the Service secure, or where the law requires it.
- When you share a library, the collaborators you invite can see and, depending on the permissions you set, edit the shared content.
5. How we select early access invitations
Early access opens in waves. To decide who is invited to each wave, we rank waitlist members using information such as when you joined, whether you have engaged with our emails or community, and how well your stated role and needs fit what early access currently supports. Software, including AI tools, helps us prepare these rankings, and a person reviews and approves every wave before invitations are sent.
This ranking only affects the timing of your invitation. It does not produce legal effects or similarly significant effects on you. If you have questions about your place on the waitlist, contact us at support@archivero.net.
6. AI features and AI-assisted operations
Where the Service includes features powered by artificial intelligence, the content you submit to those features is sent to our AI service providers to generate a response. Our agreements with these providers restrict them from using that content to train their models.
We also use AI tools internally to help us draft content, summarize feedback, compile reports and prepare the early access rankings described above. When we do so, personal information is processed by our service providers under contract and a person on our team reviews the results.
7. How we share information
We do not sell your personal information. We share it only as described below.
- Service providers who process information on our behalf and under our instructions, including:
- website and application hosting, and database hosting;
- email delivery and newsletters (MailerLite);
- analytics (Google Analytics 4, Google Search Console and Plausible);
- social media scheduling (Publer);
- surveys and forms (Tally);
- community (Discord);
- AI service providers (such as Anthropic);
- file storage and collaboration tools (such as Google Drive and Slack);
- payment processing, if and when we introduce paid plans.
- Advertising partners such as Google, Meta, Reddit and TikTok, where you have consented to advertising cookies or where the law otherwise permits (see section 8).
- People you choose to share with, such as lab members, co-authors or supervisors you invite to a library.
- Public spaces. Anything you post in our Discord server or in public replies to our social media accounts can be seen by others.
- Legal and safety reasons. Where required by law, legal process or a government request, or where necessary to protect the rights, property or safety of Archivero, our users or others.
- Business transfers. In connection with a merger, acquisition, financing, reorganization or sale of assets, subject to this Privacy Policy or equivalent protections.
- With your consent or at your direction.
8. Cookies and similar technologies
We use cookies, pixels and similar technologies to:
- keep you signed in and keep the Service secure (strictly necessary);
- remember your preferences (functional);
- understand how the Site and Service are used (analytics); Plausible is a privacy-focused tool that does not use cookies, while Google Analytics 4 does; and
- measure and improve our advertising (advertising), such as pixels or tags from Google, Meta, Reddit and TikTok.
Where the law requires it, we ask for your consent before setting non-essential cookies. You can withdraw that consent, or block or delete cookies, in your browser settings, though some parts of the Site may not work properly as a result. You can also write to support@archivero.net and we will apply your choice for you.
We honor Global Privacy Control (GPC) signals as a request to opt out of advertising cookies and of "sharing" or "selling" personal information as those terms are defined under applicable US state laws.
9. International transfers
We are based in Portugal, and our service providers may process information in the United States and other countries whose data protection laws may differ from those where you live. When we transfer personal information from the EEA, the UK or Switzerland, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses, the UK International Data Transfer Addendum, or an adequacy decision (including the EU–US Data Privacy Framework where the recipient is certified).
10. How long we keep information
- Account and Your Content: for as long as your account is active. After you delete your account, we delete Your Content within 30 days, except for copies in backups, which are overwritten within 90 days.
- Waitlist information: until you receive and accept an invitation, unsubscribe, or ask us to delete it, and in any case no longer than 24 months after your last interaction with us.
- Marketing emails: until you unsubscribe. We keep a record of your unsubscribe so we do not email you again.
- Feedback, survey and support records: up to 24 months, after which we delete or anonymize them.
- Analytics data: according to the retention settings of our analytics tools, currently 14 months for Google Analytics.
- Legal, tax and accounting records: as long as the law requires.
11. Security
We use technical and organizational measures designed to protect personal information, including encryption in transit, access controls and limiting access to staff and service providers who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If you believe your account has been compromised, contact us at security@archivero.net.
12. Your rights and choices
12.1 Everyone
- Emails: you can unsubscribe from marketing emails at any time using the link in each email. We may still send you service messages about your account and early access.
- Your Content: you can delete Your Content from within the Service. Export to standard bibliographic formats is not yet available during early access; until it is, write to support@archivero.net for a copy of your library.
- Account deletion: you can delete your account in Settings → Account, or by contacting us.
12.2 EEA, UK and Switzerland
You have the right to access, correct, delete, restrict or object to the processing of your personal information, and to receive a portable copy of it. Where we rely on consent, you can withdraw it at any time without affecting earlier processing. You also have the right to lodge a complaint with your local data protection authority. In Portugal, that authority is the Comissão Nacional de Proteção de Dados (CNPD).
12.3 US state privacy rights
Depending on where you live (for example California, Colorado, Connecticut, Virginia and other states with privacy laws), you may have the right to:
- know what personal information we collect, use and disclose, and access a copy of it;
- correct inaccurate personal information;
- delete your personal information;
- opt out of targeted advertising and of the "sale" or "sharing" of personal information; and
- not be discriminated against for exercising these rights.
We do not sell personal information for money. Our use of advertising cookies and pixels may count as "sharing" for cross-context behavioral advertising or as "targeted advertising" under some state laws. You can opt out by enabling Global Privacy Control in your browser, by blocking those cookies in your browser settings, or by emailing support@archivero.net. We do not knowingly sell or share the personal information of consumers under 16.
In the past 12 months we have collected the categories of personal information described in section 2: identifiers, customer records, commercial information (if paid plans apply), internet and network activity, approximate geolocation derived from IP address, professional or education information you provide, and inferences drawn from them (such as early access fit). We collect them from the sources in section 2, use them for the purposes in section 3 and disclose them to the categories of recipients in section 7.
12.4 How to exercise your rights
Email us at support@archivero.net. We will verify your request, usually by confirming it from the email address associated with your account or waitlist signup, and respond within the time required by law. You may use an authorized agent where the law allows it. If we deny your request, you may appeal by replying to our decision, and we will explain the outcome of your appeal.
13. Children
The Site and Service are not directed to children. You must be at least 16 years old to use them. We do not knowingly collect personal information from anyone under that age. If you believe a child has given us personal information, contact us at support@archivero.net and we will delete it.
14. Third-party sites and services
The Site and Service may link to, or let you import from, third-party websites and services (for example other reference managers, publisher sites or social media platforms). Their privacy practices are governed by their own policies, not this one.
15. Changes to this Privacy Policy
We may update this Privacy Policy from time to time, for example as the Service develops through early access. We will post the updated version on this page and change the "Last updated" date. If we make material changes, we will notify you by email or in the Service before they take effect.
16. Contact us
